Workplace Express privacy policy

(We define our "organisation" as including our direct employees and also contractors/service providers engaged by us to work directly on our services, systems and products.)

Specialist News Pty Ltd (ABN: 33 093 580 413, 'we', 'our', 'us') is the owner and publisher of Workplace Express. We take, and mostly exceed, reasonable precautions to protect all the details and data we collect. We use many physical and digital methods to achieve this.

We comply with the Australian Privacy Principles and the Privacy Act (1988), and where applicable the EU GDPR.

We hold and use some basic information provided to us by (and about) our subscribers and website visitors (current, past and prospective). This includes names, email addresses, phone numbers, postal addresses, and the IP address they use when visiting our website(s).

We use this information so we can recognise you when you request to access our products and services, as per your subscription or service agreement with us.

When you make requests regarding your subscription or other purchases from us, this information may be stored as well. This helps us to provide customer service to you, when you need it.

We also log information about how our services are used. We use this information to guide our editorial, customer service, marketing and other business strategies.

For customers who make purchases with us, we hold information about your purchase and billing history (note we do not store credit card details. For direct-debit purchasers please refer to your direct-debit agreement with us for details on how your payment details are stored). This is for accounting and customer service purposes.

Our guiding rule is to minimise allowing data and personal information we collect outside of our organisation as much as is practicable. If we do, it will only be with secure applications engaged by us to provide you with (and inform you about) our products and services, or if we are legally required to do so.

Our offices and servers are Australian based, however we also use applications and service providers that may be global (for example Google, Microsoft and others).

We always store data and information securely, using reputable and trustworthy services, and demand the same from our application and service providers.

We don't share any subscriber information with advertisers. If you do see an advertisement on Workplace Express it will be up to you to engage with the advertiser and provide them with what data you choose, as per that organisation's policies and practices.

We use Cookies to recognise you and provide you with access to our website (allowing you past our paywall), and to help us with logging the aforementioned data. If you choose to disable cookies from our services you can do so via your devices and web browsers, however this will greatly limit our ability to provide you with promised products and services.

Unsubscribing but staying in our system (or leaving completely)

When you ask to be unsubscribed from our services we will as soon as is practically possible cease communications and service to you. We will also store your basic contact details so we can avoid contacting you again in the future via our marketing efforts. If you would prefer we "forget" your details you are welcome to request this, however please note that doing this may mean you appear on our marketing radar in the future.

For subscribers who have a payment history with us we will need to maintain these records for the statutory minimum period, even if you unsubscribe from us.

Displaying content from external platforms, websites and publishers

From time to time we will embed or link to externally held content on our website (for example videos Youtube or Vimeo, Twitter posts, or reference material from other sites and applications). When we do this we will make it clear that we have done so however when using this content (by streaming or downloading) it you do so as per that organisation's policies and practices.

As we update our systems and processes with additional services and improvements we'll need to make changes to this policy. To stay up to date with these we encourage you to regularly check this page and our terms of use.

How long we keep personal information and data

We store personal information and data for as long as you are a subscriber or subscription contact, or as long as we provide you with services, and/or are required to retain records for administrative purposes (tax reporting etc), and specifically until such time as you request us to delete your personal information.
