Description of the role

Reporting to the Assistant Director, Member Support, and working closely with the Tribunal Services Coordinator (VIC, SA & WA) and the NSW Office Manager, the Tribunal Services Coordinator (NSW, QLD & ACT) plays a vital role in delivering a range of professional support services to Commission Members and Associates.

Working closely with a national leadership team headed by the Executive Director – Tribunal Support, it is envisaged that the successful candidate will significantly contribute to the development of strategies and play a key role in national projects aimed at improving service delivery across all locations. Other key responsibilities include the coordination of administrative support to Commission Members, maintaining a superior level of service to external parties and adherence to Commission practices and procedures.

Duties

1. Work collaboratively with the NSW Office Manager to lead and manage the Commission’s NSW Associates and Relief Associate Team including the Unfair Dismissal Allocation Officer.

2. Lead and manage the Commission’s QLD and ACT Associates and Relief Associate Team.

3. Maintain a high-level of support to Members and Associates and, in that respect:

a) Work closely with Members and Associates to provide outstanding support essential to the successful operation of the Commission by working collaboratively with Chambers.

b) Manage and coordinate the Associate relief roster, including allocating staff according to organisational needs and to achieve optimal resource utilisation including supporting Members in other states as required.

c) Responsibly exercise authority delegated under the FWC enterprise agreement for Associates, including, but not limited to, Performance Developments Plans, leave management, monitoring and authorisation of timesheets.

d) Oversee the development and maintenance of core skills and capabilities of the team, including assisting with and/or organising training programs for Associates.

e) In conjunction with relevant Members, oversee the recruitment and onboarding of Associates including providing guidance in human resource processes, and assisting with performance management and coaching.

4. Provide leadership and project management of initiatives aimed at improving operational practices, including national best practice approaches.

5. Develop an understanding of the NSW Office Manager’s role and undertake duties as required particularly during periods of leave.

6. Perform other duties as directed by the Executive Director, Tribunal Support and the Assistant Director, Member Support.

• Is independent, accountable, robust and takes responsibility for their own work and actions
• Has extensive relationship management experience, building and maintaining effective working relationships with key stakeholders
• Has demonstrated experience with problem solving in a fast-paced environment whilst supporting a professional team simultaneously
• Is well-organised and has experience using technology to streamline processes and contribute towards creating efficiencies
• Is an excellent communicator with a demonstrated ability to effectively engage with internal stakeholders and assist them to clarify needs to meet their expectations
• Has a close familiarity with Microsoft products and the capacity to quickly attain proficiency in case management systems and other legal technologies including the ability to provide basic training and technical support
• Is degree qualified, relevant to this role, i.e. Legal, and/or experience in a similar legal role. A human resource background and/or experience as a HR generalist/manager will also be well suited to perform this role.
